Cancellation Policy

At AcuChen Chinese Medicine & Acupuncture, we value our patients’ time and strive to provide the highest quality healthcare services. To ensure the best possible experience for all our patients, we have established the following cancellation policy:

  1. Appointment Cancellation: Patients are encouraged to inform us as soon as possible if they need to cancel or reschedule their appointment. We kindly request that cancellations be made at least 24 hours in advance.

  2. Late Cancellation or No-Show: If a patient fails to provide at least 24 hours’ notice for a cancellation or does not show up for a scheduled appointment without prior notice, a cancellation fee may be applied. This fee helps offset the costs associated with the appointment slot that could have been allocated to another patient.

  3. Cancellation Fees:

    • For Initial appointments: $100 for late cancellations or no-shows.
    • For Follow-up appointments:  $50 for late cancellations or no-shows.
  4. Exemptions: Certain circumstances, such as emergencies or sudden illnesses, may warrant an exemption from the cancellation fee. Please contact our clinic as soon as possible to discuss any exceptional situations that prevent you from attending your appointment.

  5. Payment of Cancellation Fees: Cancellation fees must be paid within 14 days of the missed appointment. Failure to pay cancellation fees may result in restrictions on future appointments at our clinic.

  6. Rescheduling: Patients who wish to reschedule their appointments are encouraged to do so promptly, and the cancellation fee may be waived if a new appointment is scheduled at the time of cancellation.

  7. Reminder Notifications: We offer appointment reminder notifications via email, SMS, or phone call to help patients remember their scheduled appointments. However, it is the patient’s responsibility to keep track of their appointments and notify us of any changes.

  8. Clinic Discretion: In certain cases, we may use our discretion to waive or modify cancellation fees, especially if there are extenuating circumstances.

  9. Communication: Patients can cancel or reschedule appointments by calling our clinic during regular business hours or through our online appointment booking system.

  10. Recurring Appointments: Patients with recurring appointments (e.g., ongoing therapy or treatment) are advised to discuss the cancellation policy with their healthcare provider, as exceptions may apply.
